The Four Quadrants
Quadrant 1: Urgent + Important (DO)
- Examples: Crises, emergencies, deadline-driven projects
- Strategy: Handle immediately
- Goal: Minimize time spent here through better planning
Quadrant 2: Important + Not Urgent (DECIDE)
- Examples: Planning, prevention, skill development, exercise
- Strategy: Schedule dedicated time
- Goal: Spend most of your time here for maximum impact
Quadrant 3: Urgent + Not Important (DELEGATE)
- Examples: Interruptions, some emails, non-essential meetings
- Strategy: Delegate or find ways to eliminate
- Goal: Minimize time spent here
Quadrant 4: Neither Urgent nor Important (DELETE)
- Examples: Time wasters, excessive social media, trivial activities
- Strategy: Eliminate completely
- Goal: Avoid this quadrant entirely
How to Use It
1. List all your current tasks and responsibilities 2. Place each item in the appropriate quadrant 3. Focus 65-70% of your time on Quadrant 2 activities 4. Limit Quadrant 1 to genuine emergencies 5. Eliminate or delegate Quadrants 3 and 4
